Understanding Usage and Limits

Cockato's pricing plans include specific usage limits based on your subscription tier. This guide explains how usage is calculated, what happens when you exceed limits, and how to monitor your current usage.

Core Usage Metrics

Cockato tracks three primary metrics for your organization:

MetricDescriptionHow It's Counted
Active CustomersNumber of unique loyalty program membersCounted based on total unique customer_id records in your database
Outlets (Locations)Physical or digital storefronts where loyalty is usedActive outlet records in the Outlets Management tab
Staff AccountsTeam members with access to the Staff DashboardActive users with staff or admin roles in your organization

💡 Tip: Deleted customers or inactive outlets do not count toward your usage limits.

Plan Limits Overview

While exact numbers depend on your specific pricing tier (Growth, Pro, or Enterprise), the general structure is:

Growth Plan

Designed for single-location businesses starting their loyalty journey.

  • Limits on total active customers (typically up to 2,000)
  • 1 Outlet maximum
  • Limits on staff accounts (typically 3-5)

Pro Plan

Built for growing multi-location brands.

  • Higher active customer limits (e.g., up to 10,000)
  • Multiple outlets supported (e.g., up to 5)
  • Expanded staff accounts (e.g., up to 15)

Enterprise Plan

Custom solutions for large franchises or high-volume businesses.

  • Unlimited or custom active customers
  • Unlimited outlets
  • Unlimited staff accounts

Monitoring Your Usage

Organization Admins and Owners can view real-time usage metrics:

  1. Navigate to Settings → Billing
  2. The Current Usage card displays progress bars for Customers, Outlets, and Staff
  3. You will see your current count vs. your plan limit (e.g., "1,450 / 2,000 Customers")

What Happens When You Exceed Limits?

Cockato uses "soft limits" to ensure your business operations are never interrupted:

Customers: If you exceed your active customer limit, new customers can still sign up and earn points. However, you will receive an email and dashboard notification requesting an upgrade. If you remain significantly over the limit for an extended period, dashboard access may be restricted until you upgrade.

Outlets and Staff: These are "hard limits" enforced by the UI. If you reach your outlet limit, the "Add Outlet" button will be disabled until you upgrade your plan or deactivate an existing outlet.

Add-On Usage

Certain features have separate usage tracking independent of your main tier:

For add-ons, you can view the detailed breakdown in the Marketing → Analytics dashboard.
